How to manage roles and permissions

On atingi, there are in total six roles to choose . A ‘role’ simply means a standardised set of permissions given to a group of users. 


The "Category" level represents the highest level of access available to atingi partners on the atingi platform. Typically, this role, titled "Category Manager" is assigned to the Project Manager responsible for an organization’s e-learning initiatives. In contrast, service providers, facilitators, and other contributors are usually assigned roles at the course level.

The Category Manager role is able to assign roles to other users. For many partners with bigger teams or external service providers, the first step will be to assign appropriate roles to their colleagues.

In the table below you can see the most important roles and permissions. 


Category level roles 

Category manager

The Category Manager can assign roles below this level, to other users as well as create, configure, and delete courses within the category. Users assigned to this role are responsible for managing all courses within a specific category and have extensive rights to access courses, to enrol/unenrol learners and view and modify course details.

However, the Category Manager is not able to access user profiles, which include detailed personal information like gender or year of birth. For that we have a complementary (add-on) role (User data viewer) that is assigned to a maximum of one person from your team by your atingi account manager. Since this involves the right to access private data, the holder of the "User data viewer" role must agree to atingi’s data privacy requirements and complete a data protection course before assignment.

Category assistant

Within a category, the Category Assistant can set up new courses and view hidden courses from the category. Once a Category Assistant has created a course they will be automatically assigned as a Course Content Developer on a course level. This role can essentially grant permissions for managing operational tasks, such as setting up or editing courses, as well as managing enrollments, configuring course settings, and monitoring course performance.

Example for role assignment on category level 

You have been given the role of Category Manager but want someone (e.g., your consultant) to create new courses within the category. 

To do so, access your category through the atingi homepage.


Then, click on the settings icon on the right side next to the name of your category. Choose the option “Assign roles” from the menu.


Now you can see the roles that you have permissions to assign on category level. Click on the name of the role to give it to a user.



In the search bar of the following page, you need to enter the exact email address of the user that you want to give permissions to. Please note that this user needs to be registered on atingi.

Click on the name under “Potential users matching…” and then select “Add”.


You have successfully given the user “Category Assistant” permissions.

Course level roles 

Course Manager

Within the course they are assigned to Course Managers can create, change, and configure the course and its activities, watch the learners’ progress, and grade their assignments. They can also assign Course Instructor and Course Content Developer roles and enrol users via invitation link and user bulk enrol. 

Course Content Developer

A user assigned to this role can add or edit content within a specific course. 

Course Instructor

The Course Instructor serves as an assistant to the Course Manager and has moderation and grading rights within his or her course but cannot edit or add its content. 

Learner

This is the default role given to all users enrolled in a course. Learners cannot edit a course’s content. 

INFO: One user account can be assigned multiple roles. These roles are ‘additive’, which means that the more roles you layer on top of one account, the more permissions they will have. 

Example for role assignment on course level 

You have been given the role of Category Manager and want your colleagues to be able to start working on the courses that you have previously created.  

To do so, go to the course and in the pink menu, choose “Participants”. 

After enrolling the users to the course via bulk enrolment or invitation method, they appear in the participants list. 


To edit their course level permissions, click on the little pencil under “Roles”, where it currently says “Learner”. 


In the dropdown you see the roles that you are able to assign. Since you want your colleagues to manage the course, you choose the role of “Course Manager”. To save it, click on the floppy disk icon


The course level role has been assigned. This user can now assign course level roles as well, enrol other users and edit the course content.
